Position Overview
The successful candidate will provide high-level administrative support to a tax professional team including the tax department Partner-in-charge. The position requires a person who is highly organized and detail oriented with strong technical skills in Microsoft Office Suite and experience in multiple software programs such as tax preparation, workflow, e-File and time and billing. A desire to work in and contribute to the success of a professional services firm and their client relationships is a necessary attribute.

Position Responsibilities
May include but not limited to:

  • Processing tax returns, extensions and estimates in both electronic and paper format
  • Preparing zero extensions in tax software
  • e-Filing of tax returns
  • Coordinating receipt of signed e-File authorizations
  • Preparing correspondence to include client engagement letters and response letters to the IRS and various tax authorities
  • Handling confidential correspondence and files
  • Using PDF tools to perform document editing and formatting
  • Coordinating and managing workflow with and within the team
  • Maintaining client information in multiple computer applications and formats
  • Scheduling internal and external client meetings, conference calls and travel arrangements
  • Managing due date reporting for meeting IRS/tax authority deadlines
  • Assisting with new client set-up
  • Creating, formatting and working with Excel spreadsheets for reporting and analysis
  • Demonstrating professional and effective direct client contact through written and verbal communication
  • Assisting with reception desk rotation and supporting other administrative departments through cross-training
  • Performing general administrative assistance to include proofreading, editing, copying, scanning, processing mail services and filing


  • A minimum of five years of experience achieved through a combination of education and/or equivalent work experience
  • Able to work additional hours February through April and September through October
  • Prior experience working with and supporting a “C” level partner in a high-pressure environment, preferably a CPA or law firm
  • Self-motivated professional with proven ability to handle stress while working with a sense of urgency
  • Demonstrates independent judgment and decision making skills and approach
  • Proactive thinker with positive attitude and demeanor who demonstrates flexibility
  • Complete tasks independently as well as work collaboratively with a team
